Member bills and horse finances
Clear member invoices. A clear account for every horse.
Use Syndicator Hub to prepare share-sale invoices and monthly member bills, track what is owing and keep the horse’s cash records together. Review horse accounts and personalised member statements before sharing them.
For racing syndicators, sport-horse partnership managers and ownership groups keeping track of member contributions, prize money, costs and distributions.
Standalone monthly subscription. View pricing before joining.
Prepare bills for share sales and monthly costs.
Invoice selected members for share sales, monthly bills and other charges. Enter the invoice items, amounts and tax rates, then review the PDF and recipient before sending. Drafts can be edited or deleted; sent invoices stay fixed.
Copy an earlier bill to a new draft for the next month, review the changes and send it when ready. Ownership percentages do not automatically generate member invoices. An optional share-sale percentage describes what is being sold but does not transfer ownership.
Read the member-invoicing features →Keep payments and credits distinct.
Record full or partial payments against an invoice and see the amount still owing. A payment feeds into the horse’s cash balance. A credit reduces the debt without being treated as money received.
Keep recorded holdings, the percentage sold and invoice payment status separate. This makes it possible to see a horse’s share-sale progress alongside the actual money collected from members.
Record prize money, costs and distributions.
Enter opening balances, prize money, other income, member capital, costs and distributions with dates and references. Keep prize money expected separate from money received, and unpaid costs separate from money already paid.
You enter prize money and costs yourself, for racing or sport-horse activity. There are no automatic racing-authority imports or bank feeds. The Hub records distributions; actual payments to members are arranged through your usual payment method.
Balances stay separate by currency. Supported currencies include NZD, AUD, USD, GBP, EUR and JPY, with whole-yen amounts for Japanese yen. The Hub does not combine different currencies into a single converted balance.
Enter race or sport-horse winnings manually, with the event date, gross prize money, deductions and net receipt. Review each member’s allocation using ownership on the event date before confirming. Allocate an existing prize receipt without recording the income twice. Member statements show allocated prizes, recorded payouts and funds held.
Record a full member payout already made, with its date and reference. Funds can remain held in the horse account. Partial payouts and applying held funds to invoices are not included. Recording a payout does not transfer money. Racing and competition websites are not synchronised.
Explore horse accounts →Give members a statement they can follow.
Choose the horse, reporting period and currency to produce a PDF showing opening and closing cash, receipts, costs, distributions and outstanding amounts. Preview each member’s personalised PDF before selecting recipients and confirming the email send.
Member statements use ownership recorded on each cash transaction date to allocate operating income and costs. Capital, share-sale receipts and distributions are listed separately. Other members’ individual invoices remain private.
Horse accounts are operational cash statements. Hub member invoices stay in Tockly; the full Equine accounting connections do not export these member bills.

A horse’s cash movement for a period
Illustrative figures in NZD showing recorded cash activity. This example does not calculate tax, ownership allocations or a recommended payout.
| Recorded activity | Cash movement |
|---|---|
| Opening cash | NZ$500 |
| Member invoice payments received | + NZ$1,200 |
| Prize money received | + NZ$900 |
| Costs paid | − NZ$650 |
| Distributions paid to members | − NZ$300 |
| Closing cash | NZ$1,650 |
Expected prize money and unpaid costs are shown separately from cash. Enter the actual dates and references so the account and member statements use the appropriate records.
Common questions
Your questions, answered.
Can I invoice members for a share purchase?
Yes. Prepare a share-sale invoice for selected members and review the amount, items, PDF and recipient. Update ownership records separately when the transfer takes effect.
Does the Hub send monthly bills automatically?
No. You prepare or copy a bill, review the draft and confirm sending. Recording an ownership share does not automatically issue an invoice.
Can I record prize money and distributions?
Yes. Record prize money received or expected and distributions in the horse account, with dates and references. The Hub does not import prize money from competition websites or execute payments to members.
Can each member receive their own PDF statement?
Yes. Preview personalised statements showing the member’s holding, allocated income and costs, payments and unpaid invoices, then select recipients and confirm the send.
