Horse charges and owner billing

Horse invoicing software that starts with the horse.

Bring daily rates, care charges and ownership records into the same billing workflow. Tockly Equine helps horse businesses prepare clear invoices, review what is owed and keep the detail behind each charge.

For independent horse professionals, boarding barns, livery yards, agistment properties, training stables and larger equestrian businesses.

Capture the charges that belong on the bill.

A horse’s programme can carry a daily rate and effective dates. Record arrivals, departures and programme changes, then add recurring extras or individual services such as farrier work, dentistry, veterinary costs and transport.

For a handwritten barn or stable worksheet, Tockly Capture proposes charges from a photo. Check the horse, service, date and amount before approving the entries. Recording or approving a charge does not send an invoice.

Prepare monthly invoices with a clear review step.

Prepare drafts for the billing period and review the underlying horse charges. Charges across several horses can join the same customer’s monthly draft, while different billing businesses and currencies stay separate.

Where a horse has several owners, use the ownership shares effective on the service date. Alternatively, nominate the responsible syndicate as the billing customer. Review the recipients and totals before confirming and sending.

Follow the invoice through to payment.

Send branded PDF invoices, record payments and credits, prepare customer statements and see outstanding balances. Use payment reminders to follow up accounts that need attention. Owners can view permitted sent invoices through their private Owner Hub link without creating an account.

Connect Stripe for payment links on supported invoices. Accounting connections to Xero, MYOB and QuickBooks Online support customer, invoice and payment-status synchronisation; the available operations depend on the provider and setup. Use Tockly Equine as your horse invoicing system with or without an accounting connection.

Supplier invoices and horse on-billing

Incoming invoices & on-billing receives charges from connected Tockly supplier businesses. Match their horses to your records, review your selling prices or saved pricing rules, and send approved charges into your usual horse-owner invoice review. Keep a supplier cost without on-billing it when appropriate.

Record supplier bills in Tockly with original files, review and approve them, and record full or partial payments already made. Optional Xero, MYOB and QuickBooks Online connections import supported unpaid bills and refresh their status. Purchase reports and CSV exports keep costs and payments separate. Importing an accounting bill does not automatically allocate its lines to horses.
