Horse stays, services and billing

Boarding, agistment and livery, with the detail behind every stay.

Whether you call it horse boarding, agistment or livery, keep the horse’s stay, care programme and agreed charges together. Tockly Equine connects the work in the yard with the bill the customer receives.

For boarding barns, livery yards, agistment farms, spelling properties and businesses providing pasture, full-care or training services at their own agreed rates.

Start with the arrival and the agreed service.

Record the horse’s arrival, owners, programme start date and daily rate. Allocate a property area, stable, box or paddock so its physical location is clear. A horse-arrival booking request can be reviewed before you approve it.

Keep the accommodation and billing arrangement distinct. A horse can stay in the same barn while changing from an agistment programme to a training programme, or move paddocks while its agreed programme remains the same.

Keep programme changes and extras dated.

Use programme dates to record a change in daily rate. Add recurring extras for agreed daily services, then record individual farrier, dentistry, veterinary or transport charges on the dates they happened.

This gives a livery yard or boarding barn the detail needed to review a month that includes an arrival, departure or change in service. Check the recorded dates and billing period before confirming the invoice.

Keep the owner’s horse care alongside the account.

Save care dates, health observations and service history on the horse record. Use reminders to review upcoming care and share progress through a private Owner Hub link.

Prepare monthly customer drafts with the horse and service detail. Charges for several horses can join the same billing customer’s draft, with separate drafts for different billing businesses or currencies. Review ownership shares where costs are split between owners.

Use the language of your yard.

Customers may search for a boarding barn, livery stable, agistment property or spelling farm. The important details are the services you provide, the dates they apply and the rates agreed with each customer.

Describe your own programmes and extras clearly. Tockly Equine provides records and billing tools; your business sets the service arrangement and reviews the invoice before sending it.

Common questions

Your questions, answered.

Can I use different rates for different programmes?

Yes. Programmes have daily rates and effective dates. Record programme changes and review the resulting charges for the billing period.

Can I charge for extras as well as the daily stay?

Yes. Record recurring daily extras or dated individual services against the horse, then review them with the programme charges.

Can the horse’s owners split the cost?

Full Tockly Equine can allocate charges using the ownership shares effective on each service date. You can instead bill a responsible syndicate where that is the agreed customer.

Can a larger business keep several yards separate?

Set up properties and billing businesses with their own details, currencies and time zones. Invoices remain separate by billing business and currency.
